This Privacy Policy applies to enquiries submitted through the Ilona Apartment Houses website and to related correspondence.

2. What data do we process and for what purpose?
We process the name and email address entered in the enquiry form, the selected arrival and departure dates, the number of guests and guests aged 18 or over, the selected apartment, and the content of your message. The content and timing of our correspondence with you also form part of the processing.
We use this data to prepare an offer, check availability, answer your questions and prepare the booking you request. We may automatically acknowledge receipt at the email address provided. This message only acknowledges receipt of the enquiry and is not a booking confirmation. The legal basis is Article 6(1)(b) GDPR: steps taken at the request of the data subject prior to entering into a contract. Submitting the form alone does not create a confirmed booking.
Your name, email address, arrival date and number of guests are required so that we can prepare a meaningful offer. Adding a message is optional. Please do not include health information or other sensitive details unless they are genuinely necessary for your enquiry.
3. How long do we retain the data?
If no booking is made, we delete the enquiry and related correspondence 12 months after the last substantive contact from Netlify form management, email correspondence and the task history accessible in Zapier. We retain data for longer only where required by an ongoing legal dispute or a statutory obligation. Service providers may apply their own retention periods to technical and security logs.
If a booking is made, additional privacy information may apply to contract performance and legal obligations. This Policy does not fully describe data processing connected with identifying guests on site or issuing invoices.
4. Who can access the data?
- Enquiries and offers are handled by authorised persons acting on behalf of Ilona Apartment Houses.
- The form is transmitted and stored using the services of Netlify, Inc.; enquiries may also appear in the Netlify user interface.
- For the automatic acknowledgement sent to the guest, Zapier, Inc. transfers the form data to Gmail. The transmitted data may also appear in the automation task history. Zapier data protection terms.
- We use the email service Google Gmail.
We do not use the data for newsletters and do not sell prospective guests’ data. Through service providers and their subprocessors, data may also be processed outside the European Economic Area. Netlify’s data processing agreement governs the applicable transfer mechanisms, including the EU Standard Contractual Clauses. We rely on the privacy terms and security settings of the service providers we use.
5. Technical operation of the website
The current version of the website does not include visitor analytics, advertising tracking codes or newsletter registration. The hosting provider may process technical connection data such as IP addresses and access logs to operate and protect the website. If analytics, external content or non-essential cookies are added later, this Policy and, where applicable, the cookie settings must be updated.
6. Your rights
You may request information about and access to your processed data, and request correction of inaccurate data. Where the legal requirements are met, you may also request erasure or restriction of processing. Under the applicable conditions, you may also have a right to data portability. If you believe that your data is not being processed properly, you may lodge a complaint with the Hungarian National Authority for Data Protection and Freedom of Information (NAIH) or seek a judicial remedy.
7. Automated decision-making and changes
No decisions concerning enquiries are made solely by automated means, and the data is not used for profiling. We will update this Privacy Policy if our data processing or the services used change.
